How to Use This Manual
Welcome to the Vending X Operator App! This manual is designed for first-time operators using the system.

What is merchant onboarding? If a merchant wants to collect payments online, they must submit business license, ID card, bank card and other documents to the acquirer to apply for a merchant collection account. This process is called "onboarding". There are two collection methods:
- Platform Collection: No application required, but funds go to the platform account first before being transferred to you. Settlement cycle is approximately 30 days, with certain fund risks.
- Merchant Direct Collection: Requires submitting documents to apply for a dedicated merchant account. Customer payments go directly into your account with T+1 settlement. Funds are more secure. Recommended.
Entry: Bottom tab [Profile] โ Finance Module โ Onboarding Management
If the merchant has already completed onboarding, maintain the collection merchant account and submit for review โ the system administrator performs the review. Once approved, onboarding is complete.
If the merchant has not yet completed onboarding, fill in the merchant onboarding information and submit โ the acquirer will review the information. Once approved, wait for the collection account to be activated.

FAQ โ Common Questions
Login shows "Account or password error" โ what should I do?
First check for case sensitivity / extra spaces. If you forgot your password, contact the admin to reset it. Do not attempt more than 5 times in a row โ your account will be locked.
Store is "Online" but I still can't see products?
Check three things: โ Has the store completed template application (Stores โ Store โ Product&Price Tab)? โก Have products been added to "My Product Library"? โข Has this store completed aisle binding?
Additional payment order failed / user complains about overcharging?
Pause all additional payment operations โ Retrieve the order video for review โ If overcharging is confirmed, contact admin immediately โ Initiate a refund if necessary. Additional payment is a "high-risk" operation โ strictly follow the Payment Notice.
Exception order hasn't been handled for 7 days โ what happens?
After 7 days, the system no longer allows modifying order details โ it will be force-closed. Important exception orders should be handled within 24โ48 hours.
Bill unpaid for over 7 days โ what are the consequences?
First, a message notification + email notification is sent; continued non-payment may result in cabinet deactivation. It's recommended to complete the previous month's bill reconciliation within the first week of each month.
After applying a universal template to a store, product prices are wrong?
Universal templates only sync the "product combination," not prices. Prices must be adjusted individually on the store's "Product&Price" page, or set uniformly in the "Product&Price" batch operation.
Online inventory is still inaccurate after a Count?
Check whether "Reopen Door" was selected and the cabinet was successfully closed at submission; the count result is based on the inventory at the moment the cabinet door locks. If it remains inaccurate, contact admin to reset the inventory baseline.
New product application was Rejected โ how soon can I reapply?
You can reapply immediately. Read the Rejection Reason carefully and adjust (e.g. unclear images, wrong category, missing barcode), then resubmit following the Step 6 process.
How many merchants can one phone number log into?
Unlimited, but only one can be logged in at a time. Use "Profile" โ Switch Merchant to switch โ do not log out directly.
What should I do before deleting my account?
First check "Settings โ Delete Account" for prompts. Ensure there are no unsettled bills, no ongoing installment contracts, and no unsettled after-sales orders โ otherwise deletion is not possible.
โ Congratulations!
You've completed the entire Quick Start Guide! Next, follow Steps 1โ11 in order to perform actual operations. When you encounter issues, return to the relevant chapter of this manual for reference.
